How to Check Your Current Used and Available OneDrive Storage?

Note: The values displayed on the OneDrive home page or in the OneDrive app may differ. The web version does not include items in the recycle bin, while the app version does not include file version sizes. Therefore, we recommend checking the values on the Storage Metrics page.

 

What Happens If You Exceed Your Limit?

  1. Uploading new files will be blocked – You will not be able to add or edit files.
  2. Synchronization will stop – OneDrive will no longer sync changes between your device and the cloud.
  3. Shared files may stop working – If you have shared folders, your colleagues may have trouble accessing them.

You will need to free up space by deleting/moving content and emptying the recycle bin to get below the required limit!

 

How to Free Up Space on OneDrive?

By managing your storage efficiently and optimizing file management, you can free up space on OneDrive while maintaining access to important data. This will not only increase your available storage but also improve file organization.

Here are several ways to free up space:

1. Empty the Recycle Bin

Deleted files are first moved to the Recycle Bin, where they remain for 90 days and still count towards your total storage. Regularly emptying the recycle bin can free up space and permanently remove unnecessary files. Be sure to restore any important files before emptying the bin.

2. Delete Unnecessary Files and Folders

You can do this via the OneDrive web interface, the synced folder on your computer, or the mobile app. Remember: After deleting files, you still need to empty the Recycle Bin to free up space permanently.

3. Review Syncing of Documents, Pictures, and Desktop Folders

Windows can automatically sync the Documents, Pictures, and Desktop folders with OneDrive. If you don’t need these files in the cloud, consider turning off syncing. After disabling sync, delete the files from OneDrive to free up space while keeping them on your local device. Ensure you back up your local files regularly to avoid data loss.

4. Delete Older Versions of Large Files

OneDrive stores previous versions of edited files. While this can be useful, older versions of large files can take up significant space. Regularly review and delete unnecessary file versions to optimize storage. (Note: Word and Excel file versions typically have minimal size impact.)

5. Move Team Data to Shared Spaces

For team collaboration, consider moving files to Microsoft 365 shared spaces such as SharePoint or Microsoft Teams. These platforms are designed for team-based file sharing, access management, and version control. Using these services can help free up your personal OneDrive storage.

6. Store Data on an Internal or External Drive

For files not requiring constant cloud access, consider moving them to an internal or external hard drive. However, be aware that local storage is vulnerable to loss or damage, so it is recommended to regularly back up your files.

7. Use an Alternative Cloud Service

If you need additional cloud storage, consider services like OwnCloud, operated by CESNET.
