Mailboxes are hosted on Microsoft Exchange technology. The basic functions of an e-mail account in combination with the Outlook client are described here .

Creating a mailbox:

The right to establish an e-mail box and the right to create the appropriate e-mail address format and its subsequent use is given by the rules below as decided by the faculties and components.

Employees of CTU can set up an Exchange e-mail box, except employees of FSv, FD and FIT. In addition, Lvíčata Kindergarten and Primary School Workers can also set up a mailbox. Only users with a Microsoft A3 license are entitled to set up and operate an e-mail box in Exchange. If you do not have this license by decision of the faculty/part, your access to the mailbox will be blocked, or you will not be able to create one. In this case, an alternative for you is to set up a mailbox in Exchange online (Office 365). It is established after logging in on the page https://usermap.cvut.cz .

If you are not entitled to set up a mailbox on Exchange, in most cases you will have the option of setting up a mailbox on Exchange online (Office 365) .

Choosing an e-mail address and the right to establish and use it:
  • The user has the option to choose the shape of the email address in the UserMap interface as the first step before creating the mailbox.
  • If the user is entitled to more addresses, he can add them to the created mailbox.
  • Addresses are offered in the form that is allowed.

* if the form Name.Surname@ is already used, the user will be offered the form Name.Surname.Number@. If the user has more than one name and / or more than one surname, he can choose one combination of these names and surnames.
Users of the addresses anything@fel.cvut.cz, anything@fjfi.cvut.cz, anything@fa.cvut.cz cannot have these addresses listed at mailboxes in Exchange.

Recipient address – the address to which e-mails are delivered.
Sender address– the address under which the user sends e-mails.

Mailbox operation

If you already have a mailbox set up on the Exchange system, the rule applies that even if the format of your sending address has changed, mail addressed to your former email addresses will still be delivered to your current mailbox.

Block user access to the mailbox:
  • automatically upon loss of Microsoft 365 A3 for faculty or Microsoft 365 A3 for student license (see your technical roles in UserMap) or change of relationship with CTU (termination of studies, termination of employment, change of workplace, etc.),
  • at the request of the manager and / or at the discretion of the system administrator in the event of an incident.

After blocking access to the mailbox, rules for forwarding and redirecting e-mail are automatically deleted. At the same time, an automatic reply rule is set, which sends the following email to the author after the e-mail is delivered to the mailbox:
Automatic reply: The e-mail box is blocked according to the organization’s rules and the user does not have access to it.

To unblock user access to the mailbox:

You can unblock the email box personally on UserMap and it is possible if the reasons for blocking it disappear or are removed. Therefore, the following conditions must be met for unblocking:

  • have a sending address – if you don’t have one, follow the section Choosing an email address.
  • have a Microsoft 365 A3 for faculty or Microsoft 365 A3 for student license – if you are not a student, ask the IT department of the faculty / component to assign this role. If you are a student, you have received this role automatically. The second option is to migrate the mailbox to Office 365 (Exchange).

After meeting the conditions, click the unblock button.
If you had any rules set on the clipboard, set them again. The instructions will also help you in unblocking . 

Cancelling a mailbox:
  • automatically after 5 years from the end of the last relationship with CTU.
Mailbox migration to Exchange online:
  • If the user wants to migrate the e-mail box and e-mail addresses to Exchange online, click on the “Migrate mailbox” button and follow the instructions in the dialog box. Attention! The configuration for Exchange is different from the configuration for Exchange online.
  • Moving a mailbox to Exchange Online will ensure 100 % compatibility with other Office365 applications and will allow you to use other features (e.g. in Microsoft Flow) or other services (e.g. Microsoft Bookings, Microsoft ToDo, etc.)

  • IMAP address / port / sec: mail.cvut.cz / 993 / SSL / TLS
  • SMTP address / port / sec: mail.cvut.cz / 587 / STARTTLS
  • Mailbox size: 12GB – can be increased upon request

Notice:

E-mail services operated at CTU are governed by the rules enshrined in the Rector’s Order No. 7/2021 “Rules of operation and use of e-mail services at CTU” (In Czech only). One of the important rules stated in this order is the prohibition of forwarding emails addressed to mailboxes maintained at CTU.

E-mail access from web and apps

E-mail can be accessed via any browser using the web interface: Mail Exchange. It is also possible to use desktop applications such as Microsoft Outlook (Windows, Mac), Mail (Mac), Mozilla Thunderbird (Windows, Mac, Linux) or native applications for mobile devices iOS, Android, Windows Phone. If you want to use an e-mail client, import the accounts according to the e-mail client settings.

Configuration E-mail Clients:

Here are the basic instructions for some operating systems and their versions and client versions. However, we primarily support the MS Outlook client. We do not provide support for all combinations of OS and client versions.
If you use a different combination of client and OS, set it separately using the configuration parameters listed for the type of mailbox you are using, either within the MS Exchange (on premise) or MS Office 365 solution.

The following instructions are used as a sample configuration value for MS Exchange, if you are configuring an Exchange online mailbox (Office 365), use the correct values ​​in the  Mailbox – Exchange Online (Office 365) drop-down page in the Mailbox Configuration section  .
